2. Information we collect

Depending on how you interact with us, we may collect your name, email address, phone number, the content of your enquiry, the service you choose, booking and payment details, attendance, correspondence, and material you share for coaching or creative feedback, such as scripts, self-tapes and session recordings.

We may also receive technical information through our website and tools, such as your IP address, device and browser details, and the pages you visit.

Most information comes directly from you. Some comes from the services we use to take bookings, payments and registrations, listed in section 5. [REMOVE ANY CATEGORY YOU DON'T COLLECT AND ADD ANY OTHER SOURCES, E.G. AGENTS OR PARENTS]

3. How and why we use it

  • Answering enquiries — our legitimate interest in responding to you and running the business, or steps you have asked us to take before entering a contract.

  • Organising and delivering bookings, classes, coaching and productions — performance of our contract with you.

  • Keeping financial and tax records — legal obligation.

  • Sending newsletters you have signed up to — your consent.

  • Keeping the website secure and understanding how it is used — [CONFIRM THE BASIS FOR EACH ACTIVE TOOL; SEE SECTION 9]

We need your name and contact details to reply to you, and booking details to provide a service. Other fields are optional. [CONFIRM WHICH FIELDS ARE REQUIRED]

[IF YOU COLLECT HEALTH OR ACCESS-REQUIREMENT INFORMATION, DESCRIBE THE PURPOSE, THE ARTICLE 9 CONDITION AND WHO CAN SEE IT. OTHERWISE DELETE THIS LINE]

4. Newsletters

If you subscribe, your email address and subscription details are held by our newsletter providers, MailerLite and Substack. Making an enquiry or booking does not add you to a mailing list. You can unsubscribe at any time using the link in any email or by emailing jane@janehancock.ca. Withdrawing consent does not affect processing that took place before you withdrew it.

[CONFIRM WHICH PROVIDER IS ACTIVE, WHETHER OPENS AND CLICKS ARE TRACKED, AND THAT NEWSLETTER SIGN-UP IS A SEPARATE OPT-IN]

5. Services we use

We use these providers to run the website and our services. They process information on our behalf for the purposes above. [CONFIRM EACH ONE AND REMOVE ANY YOU DON'T USE]

  • Squarespace — website hosting, contact forms, analytics and payments.

  • Google (Google Forms and Google Analytics) — registration forms and website statistics.

  • TidyCal — booking sessions.

  • Zoom — online sessions and, on request, session recordings.

  • MailerLite and Substack — newsletters.

  • Stripe and PayPal — taking payments. These providers handle your card details; we receive confirmation of payment.

  • Eventbrite — event tickets and registrations.

  • Meta (Meta Pixel) — measuring advertising on Facebook and Instagram.

We may also share information with our accountant, with co-teachers delivering a programme you have booked (for example, Colin Waitt on the Performance & Development Lab), or where the law requires it. We do not sell your personal information.

6. Transfers outside the UK

Some of these providers are based in, or store data in, the United States and other countries. Where information is transferred outside the UK, we rely on the safeguards those providers put in place, such as UK adequacy regulations or the UK International Data Transfer Addendum. Contact us for more detail. [CHECK EACH PROVIDER'S TRANSFER SAFEGUARDS]

7. How long we keep it

  • Enquiries that do not lead to a booking: [PERIOD] after our last contact.

  • Bookings, correspondence and coaching notes: [PERIOD] after your final session.

  • Invoices and financial records: [PERIOD — CONFIRM WITH YOUR ACCOUNTANT].

  • Scripts, self-tapes and session recordings: [PERIOD].

  • Newsletter subscriptions: until you unsubscribe. We keep a minimal record so that we do not email you again.

  • Analytics data: [PERIOD SET IN EACH TOOL].

8. Under-18s and recordings

[CONFIRM WHETHER UNDER-18S CAN BOOK OR ATTEND. IF ADULTS ONLY, SAY SO. IF NOT, EXPLAIN HOW PARENTS OR GUARDIANS ARE INVOLVED]

Sessions are only recorded when you ask for a recording. Recordings are made for your own use and are not used for publicity without your separate permission. [CONFIRM WHERE RECORDINGS ARE STORED, WHO HAS ACCESS, WHEN THEY ARE DELETED, AND WHETHER ZOOM TRANSCRIPTION OR AI SUMMARIES ARE USED]

9. Cookies and embedded content

This website uses cookies and similar technologies through Squarespace, and may load content from Google, Meta, Zoom, TidyCal and our newsletter providers. Non-essential cookies, such as analytics and advertising cookies, are only set with your consent, and you can change your choices at any time using the cookie settings on this site. [ENABLE THE SQUARESPACE COOKIE BANNER AND CHECK EACH TOOL BEFORE PUBLISHING]

10. Your rights

You have the right to access your personal information, have it corrected, ask for it to be deleted, restrict or object to how it is used, and receive it in a portable format. These rights depend on the circumstances and some exceptions apply. You can object to direct marketing at any time.

To make a request or withdraw consent, email jane@janehancock.ca. We will respond within one month.
